Record Based Rules
The Attach tab in several modules includes a Rules option, providing a method to attach a rule to the specific record. This feature is available in modules that have event-based rules, such as Assets, Work Orders, Labor, Projects, PMs, and Predictive Maintenance. While some modules, such as Assets, have a limited number of events, others, like Work Orders, have many. The list indicates which events have been enabled for the given record.
Rules attached using this method are automatically associated with the specific record and do not show in the Rules Manager. For example:
-
A rule attached to an asset that texts or calls an individual when the equipment is taken out of service.
-
A rule attached to a work order that notifies a technician when the work order is complete, thus allowing other work dependent on the first work order's completion to begin.
-
A rule attached to a purchase order that emails the requester when it is approved, or the sub-status is changed to a particular value.
Attach a rule to a specific record:
-
Access the record and open the Attach tab.
If multiple sub-tabs are displayed, select the Rules sub-tab.
-
Select the event upon which the rule should trigger.
As an example, to set up a rule that will trigger a text or call to a technician when an asset is taken out of service, select the Asset Down rule.
The Rule Actions window opens, identifying both the Asset and Event.
-
Specify the actions that should be invoked when this event occurs using the same process that is used when actions are defined for rules in the Rules Manager.
-
Click Save.
The action window closes and the Attach tab appears. The rule is now enabled. To disable a previously defined record-based rule, select the rule on the Attach tab and clear the Enabled check box.
